Description:
Do you have 3 years of administrative experience in a real estate office? If so, our client is currently seeking an Office Manager to join their team. This is a full-time, permanent position.

Responsibilities Include:
• Constant communication with staff and agents to ensure client and agent satisfaction.
• Reply to every email to confirm receipt and completion of a task.
• Greet and assist visitors as they come into the office.
• Pay all office invoices and receipts in an online filing system.
• Work with an outside accountant and bookkeeper to provide info and assistance as needed.
• Process escrow deposit checks and commission checks.
• Collect a copy of the W9 for any contractors paid over the IRS threshold for requiring the form.
• Calculate and process ACH for payments to 1099 contractors (agents).
• Send commission statements to the agents.
• Pay all property management invoices for the Broker and keep track of income and expenses.
• Order sign installation/removal and repairs for listings, manage inventory of signs, and order when needed.
• Manage lockbox sign-in/out and inventory quarterly.
• Prepare and store buyer and seller presentation folders.
• New listing paperwork includes pulling the taxes, verifying ownership, organizing all required listing documents, filling appropriate fields, and assigning appropriate signatures for agents to bring to clients.
• Look up tax info and calculate without exemptions for listings, and the same for buyers upon request.

Qualifications:
• 3+ years of administrative experience in a real estate office is mandatory.
• Must be organized and attentive to detail.
• Proficient in Microsoft Office Suite and QuickBooks.
• Excellent written and verbal communication skills.
